Reunion Guidelines
Gather a committee of at least five representatives from the class. Provide a committee list of names, addresses, day, and evening phone numbers and/or email addresses to the Alumni Office.
Please notify the JC Alumni Office where and when the reunion will be held and we will get your information on the master calendar and on JC’s website. We can suggest possible locations that other classes have used for their successful reunion. If you wish to have any or all of your reunion activities at John Carroll, we will also verify the availability of the building and grounds for that date.
Decide on a caterer (the Alumni Office can recommend possibilities). Many facilities provide their own catering; however, many do not. Please inform the caterer that we are a 501c(3) non-profit organization and can provide them with any tax-exempt information they may need. A written contract must be submitted to and approved by the Alumni Office.
Decide on a DJ or Band. Again, be sure to get a written contract.
Design an invitation. Sample invitations are available. Minuteman Press in Bel Air (410-879-1714) and Full House Press in Bel Air (410-879-0118) are alumni-operated printing companies and always give our reunion classes and John Carroll great prices.
Our most current class lists will be provided to the reunion committee; however, the committee is asked to revise and update the class list, since many alumni do not update their addresses with our office. Locating lost alumni is a role that the reunion committee should handle. Addressing the outside envelopes can be provided for your invitation. The Alumni Office will not stuff envelopes, but we can handle your mailing if your invitations are delivered to us, ready for postage and mailing. Former and current JC faculty and staff lists are available if you want them invited. Please remember to include printing and postage costs when deciding on a ticket price and budget.
The JC Alumni Office will handle reservations and money. Your class will be issued an account and daily or weekly updates can be provided, as you get closer to your reunion date. Your invitation must state that checks be made payable to: John Carroll School and returned to: JC Alumni Office, 703 Churchville Rd., Bel Air, MD 21014. VISA and Mastercard can also be accepted. A final alphabetized list of all reservations received will be provided for the night of the reunion.
The JC Alumni Office will advance your class $300.00 for deposits as needed. This may be useful for the caterer, printing, and banquet hall, etc. Proper receipts and invoices are required in order for John Carroll to issue a check for any expenses incurred by any committee member. Keep in mind that the business office cuts checks on Wednesdays only, one-week advance notice is helpful. Cash will not be paid to any vendor.
If you plan to use the school for your event, maintenance personnel must be staffed and paid $17.50 per hour/per man for help in setting up and take down of your event. Please know that set-up and clean up must be done by the reunion committee. Maintenance personnel must be in attendance at all John Carroll events and can assist. Please consider this fee in estimating your ticket price.
Some costs to consider and include in the price of your ticket are listed below. History shows that reunion attendance is usually 75–100 people total. To be safe, total up your costs and divide that total by 75 to come up with your ticket price.

- A Class Gift — Classes have added $1–$10 to the ticket price and indicated on the invitations that a class gift will be made.
